Job Description:

Provides leadership in the Voltmer Sleep Center and Irvine Sleep Center including the areas of scheduling, registration, treatment authorization, documentation, coding, charge entry, billing, technical quality, collections, denial processes and assures compliance with regulatory and legal entities. Assists the Manager in the development of the department operational and capital budget. Manages all IT Systems within the sleep center. Collaborates with leadership to develop and implement a performance improvement plan.

 

Assumes responsibility for the orientation and supervision of clinical personnel.

Participates in the continuous quality improvement process. Maintains a working knowledge of departmental standard operating procedures in accordance with AASM standards. Performs other duties as assigned.

 

Essential Job Functions:

 

  • Manages and coordinates the daily operations of the Voltmer Sleep Center and Irvine Sleep Center: scheduling, registration, treatment authorization, documentation, coding, charge entry, billing, technical quality, collections and denial processes.
  • Researches and utilizes all resources available (regulatory agencies, LCD’s and NCD’s from CMS, AASM standards, insurance plan medical policies, etc.)
  • Oversight of audit and reconciliation processes to ensure accuracy. o Works directly with preauthorization department, to ensure compliance with all plan requirements.
  • Provides education and conveys needed information to clinical staff. o Acts as a liaison between nonclinical staff and business services team.
  • Ensures clinical documentation justifies the medical necessity for services provided in the department.
  • Is responsible for the AASM standards and scoring manual annual review.
  • Interprets clinical documentation in preparation for development of any necessary appeals and action to ensure payment.
  • Monitors a collections report monthly with the assistance of the Director.
  • With the Manager develops and amends the chargemaster as needed.
  • Manages all IT Systems within the Voltmer Sleep Center and Irvine Sleep Center.
  • Assists the Director in the development of the department operational and capital budget as applicable.
  • Monitors and manages resources (staffing and supplies) appropriately to effectively operate within the established budget.
  • Reviews monthly financial reports and provides an explanation to the Manager regarding budget variances.
  • Works with materials management on value purchasing.
  •  Introduces innovative ways to reduce costs.
  • Supervises all clinical staff.
  • Conducts interviews and participates in the selection of a qualified applicant.
  • Addresses staff performance through recognition, coaching, counseling and disciplinary actions in a timely manner and implements an action plan and follow-up as needed.
  • Provides orientation to new employees.
  • Participates in the development and ensures completion of competency testing for assigned staff.
  • Evaluates personnel in the time frame set by Human Resources.
  • Evaluations are complete and delivered in a manner that provides pertinent information, set goals for growth and improvement, and is supportive.
  • Organizes and coordinates the work of the office and technicians and makes staff assignments based on the needs of the department and abilities of the staff.
  • Conducts meetings following an agenda and recording information.
  • Ensure that absent staff members receive information missed.
  • Assists in monitoring Time and Attendance records of staff.
  • Provides statistical and financial data for the department.
  • Develops policies and procedures for the department and ensures compliance with AASM standards.
  • Collaborates with the Manager to develop and implement a performance improvement plan.
  • Responsible for any administrative aspect of program development.
  • Monitors regulatory staff requirements– licenses, CPR.
  • Coordinate all administrative aspect of patient classes.
  •  Continue to collect and monitor data for the AASM quality program.
  • Ensures that all vendor representatives are in compliance with Hoag policy while on the property.
  • Develops and coordinates new nonclinical and clinical processes within the department (appt schedule, electronic medical record, new technologies, etc.)
  • Respond to billing and both clinical and non-clinical patient issues and complaints. 
  • Participates in hospital committees as designated.
  • Perform other duties as assigned.

 

Education, Training and Experience:

 

Required:

  • Current licensure as a Registered Polysomnographer with the Board of Registered Polysomnographic Technologists.
  • Current license as a registered Polysomnographic Technologist with the Medical Board of California.
  • Current BLS certification.
  • Minimum of five (5) years’ experience as a Polysomnography Technologist with two years in a Lead or Charge role.

  • Self-directed individual with the ability to prioritize multiple tasks and meet deadlines, excellent attention to detail, and maintain a high level of work quality.
  • Proven ability to interface with all customer levels (physicians, Organizational staff, insurance companies, patients and family members).
  • Decisive and capable of exercising good judgment under pressure.

 

Preferred:

  • Qualified bilingual or multilingual candidates.
  • Working knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint plus healthcare database systems. 

 

License and Certifications:

 

Required:

  • Current licensure as a Registered Polysomnographer with the Board of Registered Polysomnographic Technologists.
  • Current license as a registered Polysomnographic Technologist with the Medical Board of California.
  • Current BLS certification.
