Job Description:

The Clerical Coordinator is an important team member in the success of the rehabilitation program.  The Clerical Coordinator will maintain clerical organization within the unit including the processing of orders for tests, procedures and special requests.  The Clericial Coordinator prioritizes and transcribes orders in an accurate, timely and efficient manner.


Essential Functions:

  • Ensures order entry is accurately and timely, including maintenance of all reports, chart forms, instructions in patient charts. The Clerical Coordinator will also be responsible for checking charts and the thinning of charts.
  • Ensures accurate and timely completion of forms to expedite patient care.
  • Maintains and updates pertinent patient information on computer systems, kardex, communication venues and with appropriate departments in a timely manner.
  • Organizes and incorporates multiple tasks and skills with a high level of accuracy and efficiency.
  • Routinely checks and orders supplies, following-up to ensure stock is available to meet the needs of the unit and informing appropriate personnel if items are unattainable.
  • Checks charts for orders, processes orders (faxing, order entry), expedites STAT orders and immediate post-op orders, prioritizing accordingly.
  • Tailors communication style to meet the needs of the population served (adult through geriatric patient).
  • Answers the telephone/call light promptly and courteously, relaying messages in a timely manner to the appropriate care giver.
  • Helps coordinate unit activities during an emergency situation and follows protocol.
  • Cooperates with other members of the patient care team in providing charts and other materials of assistance.
  • Consistently practices effective communication and collaborates with the patient care team for patient needs, location and any issues, prioritizing the needs.
  • Notifies nurses in a timely manner of patients going off unit, assures that appropriate forms are prepared and in the chart and obtains appropriate diagnostic data for patient records.
  • Identifies and assists in resolution of problems related to safety, sanitation and maintenance of the environment.
  • Assists co-workers in completion of daily routines and within scope of position.
  • Maintains the confidentiality of information acquired pertaining to patient, physicians, employees, and visitors to the Fudge Family Acute Rehabilitation Center.  Discusses patient and hospital information only on a need to know basis and according to HIPPA standards.
  • Performs other duties as assigned.


Education, Training and Experience

Required:  Previous hospital experience or documented course for Clerical Coordinators which includes knowledge of medical terminology.

Preferred:  High school graduate. Recently employed as a Clerical Coordinator. Student enrolled in active healthcare program such as nursing, physical, occupational, or speech therapy.


Skills or Other Qualifications


Required:  Demonstrates effective communication, interpersonal skills, knowledge of proper body mechanics, safety measures and infection control. Ability to follow instructions and organize tasks. Speaks, understands, and reads English and understands and performs basic math. 


Preferred:  Knowledge of section specific test information and instrumentation. 


License and Certifications

Required:  N/A
