Job Summary

Under the general direction of the Multi-Site Manager, the Site Supervisor is responsible for managing a medical site location that provides ambulatory patient care services. The Site Supervisor is responsible for overall planning, development, coordination, implementation and management of all medical office administrative functions and related medical office activities. The primary focus of the position includes day to day operations, communication, ensuring staff provide high quality, cost effective care and patient focused services to patients.


Job Specific Essential Functions

  • Oversees daily operations and workflow of the medical office.
  • Responsible for operations to include supervision of personnel, including preparing work schedules and maintaining appropriate staffing.
  • Under the direction of the Multi-Site Manager, participates in the hiring and firing of employees.
  • Coordinates the completion of orientation and competency validation for employees.
  • Holds meetings following an agenda and recording information. Ensure that absent staff members receive information missed.
  • Participates in other meetings and committees as required.
  • Oversight of audit and reconciliation processes.
  • Maintains appropriate inventories of supplies by properly planning for the department workload.
  • Maintains department readiness for regulatory and compliance audits at all times.
  • Coordinates resources (payroll and non-payroll) appropriately to effectively operate within the established budget.
  • Prepares report/data collection, as assigned, within the established time frame.
  • Reviews monthly financial reports and provides variance explanation to Multi-Site Manager.
  • Assists in the onboarding and acquisition of new Providers/Groups as assigned by Multi-Site Managers.
  • Addresses staff performance through recognition, coaching, counseling and disciplinary actions in a timely manner and implements an action plan and follow-up as needed.
  • Ensures that regulatory staff requirements and/or licenses and CPR etc.… are current and documented.
  • Establish clear objectives and measure/monitor progress and results related to department/organization goals and initiatives.
  • Acts as patient advocate resolving patient care issues.
  • Meets department standards for productivity and develops action plan if not achieving standards.
  • Collaborates with physicians and providers to ensure that quality patient care and service are provided and the department is in accordance with professional and regulatory standards.

  • Implements and maintains patient experience and quality standards to meet patients and internal clients expectations in accordance with the Own It philosophy.
  • Evaluates personnel in the time frame set by Human Resources.
  • Provides statistical and financial data for the department.
  • Implement and maintain new policy, procedures and processes as directed by Multi-Site Managers.
  • Works collaboratively with Medical Director, Physician Site Director, Multi-Site Manager, Executive Director and other leadership to ensure an integrated system for health care delivery.
  • Meets regularly with the Physician Site Director to review site operations and identify areas of opportunity Create a work environment that promotes a positive patient and staff experience.
  • Performs other duties as assigned.


Job Qualifications


Education, Training and Experience

  • Required:
    • 3 to 5 Providers and/or overseeing at least one urgent care office/location.
    • 2 years’ experience in an Ambulatory Care Leadership position.
    • Associates Degree in related field or licensed candidate preferred.


Skills or Other Qualifications

  • Required:
    • Formal training in medical terminology.
    • Proficiency in word processing and spreadsheet programs.
    • Current knowledge of computer hardware and software functions and interactions.
    • Comprehensive knowledge in registration, patient accounting, data processing, customer service, California collection law and insurance billing regulations.
    • Effective communication with all customers.
